Job Title: Academic Advising Assistant

Role: Assistant

Academic Advising at NU-Q is in a professional office setting for undergraduate students who seek advising from professional Academic Advisers. The Academic Advising Assistant will be an integral member of the Academic Advising team and will provide excellent customer service to students, faculty, staff, and community members. At the direction of academic advisers, The Academic Advising Assistant assist with the following:
1.    Clerical tasks including but not limited to:
a.    Compose summer academic advising letters regarding approved courses for advisees
b.    Undergraduate Academic Guide for advisees – proofing, editing
c.    Create hard copy, pdf or web-ready forms and informational material (including promotional material) for academic advising
i.    e.g. sample schedules for advisees
ii.    information charts
iii.    academic support material
d.    Format documents, print copies in advance of meetings
2.    For students:
a.    Provide documents and other material to students upon request
b.    Schedule student appointments with academic advisers students
3.    Information organization
a.    Research sources and gather information
b.    Advising preparation - selection and information
i.    Update detailed course information sheet for summer, fall, spring– details regarding how each course can be used to satisfy requirements
ii.    Update student / advising information spreadsheets
4.    Advising outgoing cross-registration support
a.    Create outgoing cross-registration spreadsheets summer, fall, spring
b.    Compile approved (for NU-Q students) cross-registration course descriptions for host partner/ host universities
c.    Compile master lists of advisees registered in host university courses
5.     Run errands as needed
6.    Organize programming/events for academic advising including
a.    Planning event e.g. Room reservations, working with NU-Q facilities, placing order for catering (if/when applicable)
b.    Assisting (hands on) with event

7.    Create social media and web presence for academic advising
a.    Set up and help maintain content for academic advising web pages
b.    Maintain social media

Qualifications required:

•    Strong communication skills (verbal and electronic)
•    Friendly, positive and professional demeanor
•    Must be able to work with a variety of people and meet deadlines and work both autonomously and within a team
•    Must demonstrate initiative
•    Reliable, punctual, conscientious, and exercises good judgment
•    Flexibility and ability to multi-task
•    Become knowledgeable of functions of the Academic Advising Center including programs and services provided.
•    Minimum 3.0 GPA
Experience with
•    Office equipment
o    Printing
•    Microsoft Office suite
o    MS Word
o    MS Excel
•    Social media application skills
•    Experience using and learning to use office equipment
